Privacy notice

Last updated 05 November 2026.

This notice explains what personal information Prohub Process Management Pvt Ltd ("ProHub", "we") collects through prohubprocess.com, why, who it is shared with, how long it is kept, and the rights you have. It is written for India's Digital Personal Data Protection Act, 2023, and for visitors from the UK and EU, the UK and EU GDPR.

Who we are

Prohub Process Management Pvt Ltd, First Floor, Maramattom Techspace, Erady Lane, Edappally, Kochi 682024, Kerala, India. Contact: [email protected], +91 7559999174.

What we collect and why

  • Enquiries and quote requests: name, email, mobile, company, the service you are interested in and your message, so that we can reply. We also record the page you were on and any campaign tags in the link you followed, so we know which content helps people find us.
  • Downloads: name, email and company when you request a brochure or tip sheet, so that we can send it and follow up with related material.
  • Consultation bookings: name, email, phone, company, the time and format you chose and anything you tell us about your needs, so that we can hold the meeting and send the invitation and reminders.
  • Events and webinars: the names and emails of attendees and, for paid tickets, the billing name, address and GSTIN needed for a tax invoice. Payments are taken by Razorpay or Stripe on their own pages; we never receive your card or bank details.
  • Newsletter: your email, optional name and topics, the date and page where you subscribed, and when you confirmed. We send the newsletter only after you confirm by email.
  • Job applications: your contact details, CV and covering note, to assess your application.
  • Spam and abuse prevention: the IP address and browser details of form submissions, used only to stop spam and repeated abuse.

We rely on your consent when you submit a form, and you can withdraw it at any time. We keep paid orders and invoices because the law requires it.

Who we share it with

We do not sell personal information. Service providers process it on our instructions:

  • our hosting provider, which runs the servers;
  • Cloudflare, which protects the site from attacks and checks that forms are sent by people (Turnstile);
  • our email delivery provider, which sends confirmations, reminders and the newsletter;
  • Razorpay (payments in Indian rupees) and Stripe (payments in other currencies);
  • Google Calendar, when a consultant's calendar is connected, so that your booking appears in it;
  • Google Analytics, only if you accept analytics cookies.

Some of these providers process data outside India, under their own security and data-protection commitments.

How long we keep it

  • Enquiries that do not lead to work: deleted three years after our last contact.
  • Clients: for as long as we work together, then as long as the law requires.
  • Paid orders and tax invoices: for the period Indian tax law requires.
  • Newsletter: until you unsubscribe; your address is deleted 30 days later. Unconfirmed sign-ups are deleted after 30 days.
  • Job applications: deleted 12 months after you apply, with your CV, unless you join us.
  • IP addresses and browser details: deleted after 90 days. Messages marked as spam: deleted after 30 days.
  • Payment notifications from Razorpay and Stripe: their content is deleted after 180 days; the order keeps what accounting needs.

Cookies and third-party content

The site uses cookies it needs to work: a session cookie and a security cookie for forms. When you arrive from a link with campaign tags, a signed cookie remembers the tags for 30 days, so that an enquiry is credited to the right campaign. Analytics cookies are set only if you press Accept; your choice is stored in your browser. Cloudflare may set a short-lived security cookie. Maps load from Google only when you press "Show map". Videos are embedded from YouTube and are subject to YouTube's own privacy terms.

Your rights

You can ask for a summary of the personal information we hold about you and who it was shared with, ask us to correct, complete or erase it, withdraw your consent, and nominate someone to exercise these rights for you. You can unsubscribe from the newsletter using the link in any email. Write to our Grievance Officer at [email protected]; we reply within 30 days. If you are not satisfied with our answer, you can complain to the Data Protection Board of India, or, in the UK or EU, to your data protection authority.

Security

The site is served only over HTTPS. Admin access needs a password and a second factor, and stored secrets such as sign-in keys are encrypted.

Children

Our services are for businesses. We do not knowingly collect information from anyone under 18.
